About Outlook Mail Integration
The Outlook Mail integration connects Microsoft 365 mailboxes to Booga's knowledge layer. Messages and attachments from Inbox, Sent Items, and other mail folders become searchable, analyzable, and available to agents — without changing anything in Outlook.
How this integration works
→ Mail ingestion: Import email bodies and attachments from an Outlook / Microsoft 365 mailbox into Booga Files. The local folder tree mirrors the mailbox, so conversations stay organized the way they already are.
→ Automatic sync: Configure folder-level watches so new mail is imported on a schedule. No manual exports or re-uploads. Choose Inbox, Sent Items, or both — Sent Items is a sibling of Inbox, so include it if you need both sides of a conversation.
→ One-way and additive: Sync is read-only. Booga never sends, moves, marks read, or deletes mail in Outlook. A remote delete, an empty listing, or a truncated run never removes files already imported.
→ Semantic search: Imported messages and attachments are extracted and indexed in Booga's knowledge base — ask questions in natural language, get answers grounded in your correspondence.
→ Agent access: Agents can read, summarize, and report on synced mail as part of automated workflows — including client correspondence digests when customers are enabled. Mail is attributed to client records by contact address and verified domain.
→ Permission-aware: Access within Booga respects your organization's role configuration. Imported mail is organization-scoped and role-gated. Each user authenticates with their own Microsoft account.
Getting Started
Navigate to Integrations in your Booga dashboard.
Select Outlook Mail and authenticate via Microsoft OAuth.
Open Files and switch to Synced Mailboxes. Choose folders to sync (Inbox and Sent Items are selected by default).
Configure sync frequency: on-demand, hourly, or daily.
Messages and attachments are now in Files, indexed in your knowledge base, and available to agents.
